Review all previously signed vendor contracts

Communicate with all vendors and related parties

Create and distribute wedding day timeline

Obtain forms and insurances from vendors

Review and proof banquet event order (BEO) from venue or caterer

Provide marriage license information

Orchestrate ceremony rehearsal (officiant is not required to be at rehearsal) 

Brief family members and wedding party 

Collect personal items for wedding day setup 

1 Professional Wedding Planner 

2 Assistant coordinators up to 10 hours

Supervise vendors load-in and load-out

Distribute personal flowers to family members and wedding party

Oversee vendor commitments and responsibilities

Oversee layout and design of ceremony and reception space

Coordinate, cue, and pace processional with DJ and/or musicians

Coordinate wedding program with master of ceremony

Coordinate reception music with DJ and/or musicians

Coordinate and assist photographer with post ceremony photos

Coordinate vendors’ meals and break times

Set up and collect personal items such as guestbook, escort cards, gift box, favors, etc

Troubleshoot and manage emergency situations

Wedding day emergency kit

Distribute any final payments and gratuities

Oversee end of event tear down, pick up, and clean up
